Project settings and lifecycle
Use project settings to change how a project works. You need an internet connection for project administration; your role determines which controls are available.
Open project settings
Section titled “Open project settings”- Select the project.
- Open its actions menu beside the project name and select Project settings.
- Choose a section. On mobile, section links appear within the settings screen.
| Section | What it controls |
|---|---|
| General | Name, icon, color, and Open after creation. |
| Fields | Available fields, labels, status workflow, custom fields, and visible columns. |
| Members | Invitations and roles for shared projects. |
| Notifications | Your reminder preference for this project. |
| Storage & data | Storage usage and permitted cleanup actions. |
| Danger zone | Archive or leave actions available to your role. |
Change project details
Section titled “Change project details”Owners and Admins can edit General while the project is active. Changes save as you work. Project code is read-only after creation to keep item keys and links stable.
Turn on Open after creation to open new items immediately. Leave it off for rapid title entry.
The automatically created Personal project has special restrictions: its name is fixed, it cannot be shared or archived, and it does not show member-management controls.
Archive and restore a project
Section titled “Archive and restore a project”The Owner can open Danger zone and select Archive for an ordinary project. Archiving preserves its contents and removes it from the normal active project list. Archived projects do not consume the active-project allowance.
To find it again, enable Show archived projects in the account menu. As the Owner, open the archived project’s settings and use General → Restore. Restoration is subject to your current active-project limit.
Project archiving is separate from moving an individual item to Trash. Restore the project before resuming normal work in it.
Leave a shared project
Section titled “Leave a shared project”A non-owner member can open Danger zone and choose Leave. You lose access to that project; this does not delete it for other members. Owners cannot leave their own project using this action.
Manage storage
Section titled “Manage storage”Open Storage & data to review usage. File and embedded-image storage counts toward the owner’s allowance. Removing trashed items through the cleanup control is permanent, so review the confirmation carefully.
