Invite people and manage roles
Share a project when several people need access to the same work. The owner and every participant need Pro. The Personal project cannot be shared.
You must be online. Owners and Admins can invite Contributors and Viewers; only the Owner can invite or appoint Admins.
Invite a Contributor or Viewer
Section titled “Invite a Contributor or Viewer”- Open Project settings → Members → Invite people.
- Choose the Permission: Contributor for editing, or Viewer for read-only access.
- Create invitation, then Copy link or Share invitation when available.
- Send it to the intended person. They open it, sign in, and accept the invitation.
Create one invitation per person. Each invitation works once; an expired or already-used link needs a replacement. Copying an ordinary project or item URL does not grant access.
Invite an Admin
Section titled “Invite an Admin”As the Owner, choose Admin in the invitation dialog and enter the intended person’s email. The Admin invitation is bound to that email. The recipient must use the matching account to accept it.
Understand roles
Section titled “Understand roles”| Role | Access |
|---|---|
| Owner | Controls project lifecycle, configuration, membership, and items; appoints Admins. |
| Admin | Configures the project, manages Contributors and Viewers, and edits items. |
| Contributor | Creates and edits items, including comments and enabled field values. |
| Viewer | Reads the project without editing it. |
Change or remove a member
Section titled “Change or remove a member”In Project settings → Members, use the member’s role control to assign a role you are allowed to manage. Use the remove action to revoke that member’s project access and review the confirmation.
Admins cannot manage the Owner or other Admins. A non-owner can leave a project through Danger zone.
If someone cannot join or edit
Section titled “If someone cannot join or edit”Check the invited account, link validity, role, and Pro access for both the owner and participant. An archived project must be restored before normal collaboration resumes. If the owner or participant loses Pro, shared access can be suspended; this does not mean the project was deleted.
